The Executive Assistant to the Managing Partner of the Atlanta office provides executive level administrative, operational, and project management support. To succeed in this role, you must be adaptable, well organized, attentive to detail, professional, and skilled at managing a heavy workload, prioritizing tasks, anticipating needs, and taking initiative. Excellent time management and scheduling skills are required. Law firm experience is strongly preferred. This is an on-site position.
Maintains Partner calendar and manages the daily scheduling of client meetings, appointments, firm management commitments, community involvement, and client events.
Prepares detailed itineraries, including briefing information and important logistical details for every speaking engagement, off-site meeting, or event by coordinating with attorneys, clients, community organizations, and event participants.
Makes reservations and handles all travel arrangements for Partner including air travel, ground transportation, lodging, and client meeting locations.
Coordinates Managing Partner communications, including taking calls and screening calls, responding to emails and invitations, and interfacing with clients, vendors, and other external contacts.
Composes, types, and proofreads routine correspondence.
Drafts responses to requests from community organizations, governmental agencies, and other professionals for Partner signature.
Completes first draft of release forms, annual Board questionnaires, and other business documents for review and Partner signature.
Prepares outgoing mail and correspondence, including email.
Helps to maintain Partner files including notes, correspondence, and all information relating to client and community commitments.
Coordinates and assists with client and business development activities, including development of meeting agendas, conducting preliminary online research in preparation for presentations, and drafting of runs-of-show.
Oversees and implements planning details to ensure that webinars and online training sessions run smoothly and on schedule.
Maintains contact database information, updating contact information as needed.
Bachelor's Degree and five years of directly related work experience, preferably in a law firm environment.
This position occasionally requires overtime and a very flexible and adaptable individual who possesses excellent organizational skills and follows up on pending matters with limited direction.
Sound judgment, integrity, and resourcefulness are essential.
Must have ability to interact well with clients, attorneys, and community leaders and the ability to exercise tact, discretion, and diplomacy in carrying out responsibilities.
Must be able to handle multiple tasks and prioritize and manage a variety of responsibilities with minimal supervision in a fast-paced and complex environment.
Accuracy and timeliness are critical for this position. Strong communication skills and excellent proofreading skills are essential, incumbent must be able to write business correspondence and compose memos, letters, and emails, and demonstrate a proactive approach to problem-solving with strong decision-making capability.
Proficient in Microsoft Office and Adobe Acrobat. Must be internet savvy.
